A binding contract will come into existence once you and Safari Guide Experts agree on the itinerary and a quote is provided. The booking will then be considered confirmed when an invoice is issued.
Reservations, Payments, and Deposits
Once Safari Guide Experts has accepted your booking, the date of the confirmation invoice activates the terms and conditions of the contract. Confirmation of services is subject to payment of a non-refundable deposit of 25% of the total invoiced amount. The balance is to be paid no later than 60 days prior to commencement of services. When bookings are made within 60 days prior to the departure date, full payment is required immediately on written confirmation. If payments are not received within the above stated time frame, Safari Guide Experts reserves the right to cancel the booked tour and retain any deposit received to set against expenses incurred in the booking of such a tour.
Bankers Draft will only be acceptable if payable to a bank in Kilimanjaro. Payments by personal cheques are not accepted.
All bookings are subject to availability at the time of booking and cannot be guaranteed.
Prices on this website are quoted in US dollars. All prices are subject to change without prior notice, until a safari is booked and a deposit paid. Should prices or costs from suppliers increase due to inflation, currency depreciation, and fuel surcharges, Safari Guide Experts will have no other option than to pass this on to you. We reserve the right to increase prices at any time of the year when costs increase outside our control. Please note that when the client’s itinerary overlaps two seasons, the price will be prorated over the two seasons.
Prices include, but are not limited to, the following services specified in the itinerary: Accommodation with meals, tours, transport, driver/guide, all park entrance fees, unlimited game drives, hotel taxes, and service charges.
Prices exclude (unless otherwise specified): medical air rescue services, tips, porterage, domestic air charters, visa fees, beverages, laundry, telephone calls, scheduled flights, and all expenses of a personal nature. : Flying doctor services are optional at US$40 per person (subject to change and vendor terms and conditions)
A child rate is applicable for one or two children under 12 years of age sharing a room with two adults. In the case of two children sharing a room with parents, the two children will share a bed, as most hotels/lodges cannot accommodate a fourth bed. One child sharing a room with one adult will be charged the full adult rate.
Single Room Policy
Single rooms are available for an extra cost, but the suppliers do not guarantee singles. Single rooms are scarce and cannot be guaranteed even if paid for at twin sole-use rate. Where this occurs an appropriate refund will be made. We will only allow a maximum of three single rooms per group.
(a) Should you wish to make any changes to your confirmed booking arrangements, we will do our best to assist you. You must notify us in writing at least 65 days before your tour. Alterations are subject to a US$50 per person fee to cover administrative costs and any charges incurred by the suppliers because of the alteration.
(b) Safari Guide Experts reserves the right to make changes to your tour before or after booking. Safari Guide Experts reserves the right to substitute hotels of comparable status and make any changes in the itinerary where deemed necessary. In this event, Safari Guide Experts will inform you at the earliest opportunity.
(c) Should you need to cancel your booking completely, charges will apply:
a. If cancelled more than 60 days in advance, full deposit will be forfeited.
b. If cancelled 60 days or less in advance, the entire cost of the safari will be forfeited.
c. If a safari is interrupted for any reason, unused portions of any safari or tour is not refundable.
(d) Safari Guide Experts reserves the right to cancel tours and other arrangements, although we will do our utmost to avoid such actions. If your holiday is cancelled (except due to default in payment) due to unavoidable circumstances beyond our control, Safari Guide Experts will offer you the choice of purchasing an alternative holiday (and paying or receiving any price difference) or receiving a full and immediate refund of all monies paid to us.
The expression “force majeure” means any event which Safari Guide Experts could not have foreseen or avoided even with all due care. Such events may include war or threat of war, riots, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, government action, and all similar circumstances outside our control. In these circumstances, Safari Guide Experts shall not be liable to pay any compensation or otherwise be held responsible for any expenses or losses you incur where a supplier is forced as a result to cancel, delay, curtail, or change your holiday arrangement in any way, or where the performance of Safari Guide Experts’ contractual obligations are prevented or affected.
In the unlikely event that a tour member has a dispute whilst on safari, this must immediately be brought to the attention (and put on record) of the Safari Guide Experts office, hotel, lodge, or camp management. It is unlikely that the tour member’s complaint will be satisfactorily resolved there and then.
Responsibility of Safari Guide Experts
Safari Guide Experts does not accept liability for injury, damage of personal property, loss of personal property, accident, delay, or irregularity caused by defect in any vehicle, the actions of any persons associated with the tour, accommodation, establishment or employees. Tour members should read and familiarize themselves with the terms and conditions.
Safari Guide Experts’ liability for its own negligence or breach of contract shall be limited to the tour price.
Minibuses for transfer, cars, safari Land Cruisers, and coaches will be provided according to the route and number of participants. Safari Guide Experts reserves the right to employ services of sub-contractors. Multilingual driver guides are provided on request.
For flying packages, clients will share vehicles with other guests booked at the hotel. For exclusive use, please check with us for arrangements, which will be subject to availability.
The hazards of travelling in Africa may inevitably arise. It is therefore a condition of booking that all tour members have sufficient and appropriate travel insurance for the duration of their tour. Such insurance (which is not supplied by Safari Guide Experts) should fully cover all personal requirements, including death, personal injury, medical expenses, and repatriation in the event of accident or illness, cancellation or curtailment of the tour members’ personal property.
Luggage is limited to 20kg per person on safari, but we can always store some of your luggage in our office in Moshi.
Any special requests (e.g., for single rooms or a particular diet) must be notified in writing when the booking is made. Whilst Safari Guide Experts will endeavor to meet such requests, it cannot be guaranteed, and any failure to comply will not be a breach of contract.
Safari Guide Experts’ services include flight re-confirmation and airport assistance within East Africa. In cases whereby Safari Guide Experts is providing part of the services and clients have made other arrangements on their own, Safari Guide Experts will only reconfirm where forwarding addresses or contacts are provided.
